When giving someone a letter of recommendation, allow at least 1-2 weeks for a response of your choice. Being pushy or annoying can help you get the letter faster, but there’s also a good chance that the letter will be less inspiring. Nobody wants to do a favor for someone else who does it without respect. Just let the person know you want them back on a specific date in 1-2 weeks. If you know this person really well and they’re a forgetful person, it’s okay to give them a few reminders throughout the week to make sure they don’t forget your letter of recommendation request.
Once your nominated choice returns you the completed letter of recommendation, be sure to review it before sending it. Thank and thank the person who went out of their way to help you.
The writer of a letter of recommendation must be able to speak directly about the individual’s suitability for the position for which the candidate is applying. Good examples of recommenders are former employers, colleagues, clients or professors/teachers as they can attest to the candidate’s work or academic achievements. It’s important to choose someone who takes the task seriously and takes the time to craft an appropriate letter. A hastily written letter may seem weak and superficial and therefore will be ineffective or possibly counterproductive.
On the other hand, if someone has been asked to recommend someone but doesn’t think they’re qualified to do so, it’s best to politely decline the request. An inappropriate letter of recommendation can damage the applicant’s application and may compromise the author’s professional reputation.

A recommendation letter consists of three sections; the introduction, the body paragraph(s) and the conclusion. While some types of recommendation letters follow loose formatting, most letters follow a specific format and should be written in a professional tone. The longer the writer has known the candidate, the more detailed the content can be. However, the length of a letter of recommendation is less important than the content that makes it up. As long as the letter includes the candidate’s qualifications and personal qualities, it will serve as a persuasive argument in your favor.
The introductory paragraph should introduce the contestant and the writer, the relationship between them, and the duration of that relationship. It should also include the position the candidate is applying for (if applicable), as well as the reasoning behind the author’s recommendation.
Sometimes the writer will be told who the letter is for and may be able to address it specifically to that person; typically a hiring manager/supervisor, admissions officer or admissions board. The letter should begin with “Dear [name]” or “Dear [Admissions Committee/Admissions Board]”. If it’s not clear who will read the letter, it’s usually best to start with “To Whom It May Concern.” While not always necessary, writing the date at the top will help keep the letter of recommendation valid. If a letter is dated 2008 and the person in question is applying for a job in 2017, the letter’s legitimacy drops dramatically.
Example 1 To the Admissions Board, I have the honor to recommend Sally Witfield for acceptance into her prestigious institution. I have been Sally’s science teacher for the past 4 years and based on her grades, attendance and class participation, I would rate Sally’s academic performance in my class as superior. Example 1 was written by a high school teacher in support of a student’s college/university application. Since the application is related to the academic area, the teacher addresses the student’s ability to perform well in the classroom. Example #2 March 18, 2017 Dear Mr. Larsson, My name is Dai Houliang and I’m writing to you about Jason O’Sullivan’s candidacy for hotel manager. He has worked as a reception supervisor at Hotel Place D’Armes for the past 2 years and has always been able to keep the team organized while keeping our guests satisfied.

In this example introductory paragraph, the copywriter is a former employer of the candidate and can vouch for their strengths and suitability for the specific position they are applying for.
The body paragraph(s) of a recommendation letter is where the writer details the candidate’s skills, qualifications, and accomplishments. The copywriter must provide sufficient examples to support these claims, thereby assuring the reader that the letter is from a reliable source that can guarantee the candidate’s eligibility. The number of paragraphs and the length of these paragraphs will vary from one type of letter to another, but the main objective is to form a convincing argument on behalf of the candidate in as many words as necessary.
Generally, a letter of recommendation will be used for a specific purpose and it is up to the author to know what that purpose is. The recommender can then include the strengths and skills the candidate has that are relevant to that line of work, area of study, etc.
Example #1 Even though Kamel had no previous retail experience, he was a natural. He has a great personality for the job. He puts customers at ease and provides exceptional service. Kamel works as well alone as with others. Kamel got along well with his colleagues and was never late or absent for no reason. He was conscientious in the execution of tasks so as not to leave work for those who came after him.
How To Write A Recommendation Letter
Reference letters are not always written for a specific application or purpose, but may be requested by someone if they want a general reference to use in the future. The employer in this sample body paragraph lists some of the employee’s qualities that he believes will be useful for a wide range of applications/duties.
Example 2 Alessia started caring for our children 5 years ago when our first daughter Aisling was 4 years old and our second daughter Elodie was a newborn. Due to our demanding jobs, my wife and I are unable to stay home for long periods of time during the week. It was extremely comforting to know that they are in Alessia’s care. Alessia devotes all her attention to each child and can juggle perfectly. Our two daughters, who are 4 years apart, have very different needs and attention levels, but Alessia is able to handle each one separately. She will help Aisling with her homework while she prepares a meal for Elodie and entertains her so as not to distract her older sister. My kids talk about her like she’s family and insist on inviting her to their birthday parties every year. I understand that the demands of a daycare are different than those of a family nanny, but I’m sure Alessia is up to the challenge.
The author of this sample body paragraph was able to accurately describe her nanny’s characteristics with real life examples and experiences to support them. The candidate in question is applying to multiple daycare centers, so the recommender makes sure to include attributes that will help her find a favorable position.
The final paragraph should summarize all of the author’s final thoughts on the candidate’s qualifications and reiterate their support for the candidate. Unless otherwise noted, the author must provide a way to contact them if the reader needs more information. The author’s contact information can be included in the final paragraph, in the header, or after the signature. Some recommendation letters require more specific formatting, but it is customary to use a formal signature and include the author’s signature, name, and contact information at the bottom.
